The appeal of elaborate systems is the feeling of productivity without the work. Organizing your tasks, color-coding your calendar, and tagging your notes all feel productive. They aren't.
The best system is the one you'll actually use when you're tired, distracted, and behind on everything.
Three Tools Only
1. A single task list (paper, Todoist, or Apple Reminders doesn't matter). All tasks in one place.
2. A calendar (Google Calendar or similar). Only scheduled commitments go here. Not tasks.
3. A notes app (Notion, Obsidian, or Apple Notes). Capture everything that isn't a task or a calendar event.
No additional apps. No automation setups. No tagging systems. If you find yourself adding a fourth tool, remove one.
Three Rules
Rule 1: Pick three priorities each morning. Before looking at email or messages, write down the three things that matter most today. Everything else is secondary.
Rule 2: Time-block the important work. Put your top priority in the first two hours of your workday, when cognitive energy is highest. Protect that block.
Rule 3: Weekly review on Friday. Spend 15 minutes every Friday: move incomplete tasks, delete what no longer matters, and identify next week's top three.
Why This Works
Complexity creates friction. Friction kills habits. A system simple enough to run on autopilot is one you'll still be using in six months.
The three priorities rule solves the biggest productivity problem most people have: spending the day on reactive, low-value tasks and wondering where the time went.

Open your notes app. Write tomorrow's three priorities right now. Set a 15-minute Friday recurring calendar event titled "Weekly Review."
That's the whole system. Add complexity only if you identify a specific problem it would solve.
Simple is harder to build and easier to keep. Start simple.
